Seton Family of Hospitals Selects Simplifi 797 to Help with Compounding Tasks

Seton Family of Hospitals has adopted Simplifi 797 to simplify meeting all of the requirements of USP Chapter <797> for compounding sites throughout all nine of its hospitals.

"We're a nine-hospital IDN and we wanted a common solution that would allow the local management and the network management to be able to monitor how successful each site is in doing its tasks associated with the cleanroom to maintain accountability with Joint Commission and other regulatory boards," said Mike Brimberry, IT Pharmacist at Brackenridge Hospital. "Simplifi 797 lets everyone have the autonomy of the local site, but then at the network level it gives us the opportunity to monitor and provides a level of continuity and standardization that benefits us in our operation."

Simplifi 797 is a web-based application that automates, integrates and streamlines the quality activities and documentation required to meet USP Chapter 797. Simplifi 797 manages task scheduling and monitoring and automates the reporting of exceptions and compliance.

"We have some sites with three or four cleanrooms and those are a challenge to keep up with all of their 797 tasks. Simplifi 797's alert system lets them know when a task needs to be done," said Brimberry. "If they don't get around to doing it, the late notice goes to them, local management and network management so we can monitor at a distance and see how things are being maintained."

UK Chandler Hospital - Eliminating daily scheduling distractions

University of Kentucky Chandler Hospital, a 473-bed academic medical center, is part of the UK HealthCare patient care enterprise. Donna Marie Brown is the Technician Supervisor for Inpatient Pharmacy Services and implemented ScheduleRx in January 2008. In this interview she explains how ScheduleRx has saved her hours of time and reduced paper waste.

Pharmacy OneSource: What problems were you facing at your facility before your purchase of ScheduleRx?

Donna Marie Brown: Before ScheduleRx came into my life I was scheduling 84 technicians on an excel sheet. Even though most of UK's technicians work in a pattern, I could never copy the previous schedule due to schedule deviations (doctor's appointments, tech turnover, etc.). I would fill in all shifts by hand, after that I had to gather all the e-mails for vacation requests, doctor's appointments and apply that to the schedule. Then when I completed this process I would comb through each day looking for errors, open shifts, missing shifts, double booking, and so on. When I finally sent out the schedule, I would hold my breath. Within minutes, I would receive 4 to 10 e-mails regarding errors, vacations, or appointments that I may have missed.

In addition to the problems in compiling the schedule, it was a nightmare to manage once it was out. I was having to spend 30-40 minutes a day doing updates. The technicians' e-mail inbox would get bombarded with schedule e-mails or schedule addendums, it was terrible. I would get paged or called several times a week because the schedule was hard to read and techs would often be looking at someone else's schedule or the wrong date.

Also, it was very difficult for our payroll person to follow to ensure worked hours.

Pharmacy OneSource: Has ScheduleRx helped you solve these problems?

Donna Marie Brown: I cannot begin to tell you how pleased I am with ScheduleRx. It has freed up at least 15-20 hours of my time a week that was normally devoted to scheduling my staff. I have to do some minor tweaking here and there, but generally I might spend 4-5 hours a week total with this program. Truly this program has eliminated lots of issues for us. This program has allowed me to be online more, so that I am more beneficial as a manager and to promote patient care and safety.

Pharmacy OneSource: What do you like best about ScheduleRx?

Donna Marie Brown: ScheduleRx is green. Introducing ScheduleRx into our environment has eliminated about four forms that we used in regards to the scheduling, in addition to need for each tech to print out the most current version. Also, I love that technicians are able to enter their vacations, holidays, and trades (one less thing for me to have to keep up with). Once I have accepted their request or trades the schedule is updated and always current. Having it always current has eliminated the biggest daily distraction I had, someone asking: "Who is working what position?"

Dashboard Tabs and Abnormal Lab Enhancements Added to Sentri7

New dashboard tab and abnormal lab value enhancements have been added to Sentri7, a web-based application that helps hospital staff identify at-risk patients.

With Sentri7's new dashboard tabs feature, hospitals are able to sort their lists/rules into categories that will appear on separate tabs on the dashboard homepage for better organization. These tabs can be assigned based on hospital departments, such as "Infection Control" and "Nutrition," or by clinical initiatives, such as "Joint Commission Goals" or "CMS Quality Measures."

Another new customer-requested enhancement is the color-coding of abnormal lab values on the dashboard and the patient card for easier identification. High or abnormal values appear in red. Critically high values appear as white text on red background. Low values appear in blue and critically low values appear as white text on blue background. Normal values appear as black text.

Sentri7 by Pharmacy OneSource combines medication, laboratory and patient data to facilitate earlier, better and more consistent interventions that can lead to shorter lengths of stay, lower costs, improved patient safety and reduced antibiotic resistance. More information about Sentri7 can be found at: www.sentri7.com.
